Terms & Conditions
XBOOKING PROCESS
Bookings can be made on our website by telephone or safely and securely online through our website. All bookings require either a deposit or full payment at the time of booking to hold the date and time requested. You are advised which type of payment at the time of booking.
CONFIRMATION
On receipt of the required payment and final availability check, you will receive confirmation of your booking and a receipt for your payment, which will have full venue contact details and any other relevant information. Please use the postcode provided to generate your own map online using Google Maps or use in a SatNav. If you do not receive these details on your receipt contact us immediately. If you fail to do this and subsequently cannot find the venue you must accept full responsibility. We can be contacted by phone seven days a week. Please view our booking office hours on this website. Please have full details of your booked event to hand.
For most activities (see below for exceptions), the full balance becomes payable no less than 31 days prior to the date of your event. If an online booking is placed within 31 days of the requested booking date full payment is taken automatically if we can place your requested package or the most suitable package for your group size, type and age, within the selected two hour period and send you your exact time once the booking is confirmed. If it is not possible for you to take part in the activity other than the exact time you have specified online, you must state this in the notes section otherwise we will place your activity as outlined above.
If you have paid your deposit by card, your balance payment will be due and will need to be settled no later than 31 days prior to the event date. Reminders will be sent out regularly regarding the outstanding balance with instructions on how to settle this. Your booking will be automatically cancelled and you will lose your deposit if your balance payment is not received on or before this deadline. This also applies to all declined card transactions.
**PAYMENTS - DEPOSITS AND OUTSTANDING BALANCES**
In most cases events that are booked outside of 31 days prior to the event date can be secured with a small deposit. Outstanding balances will be due 31 days prior to the event date to complete the payment for the booked experience.
Reminder emails are sent out on a weekly basis, from 40 days prior to the 31 day deadline. Failure to pay the outstanding balance online, through the event link or reminder emails, on or before the 31 day in advance deadline will result in the event being cancelled and the deposit being forfeited. No refund or reschedules will be available.
CANCELLATION
Covid-19, SARS-Cov-2 or any mutation of these.
Cancellation by you or any member of your group due to having or being effected by illness, including these listed above, will still follow the below cancellation terms.
Your booking usually prevents others from booking at a specific time on a specific date and is therefore subject to a recognised cancellation policy for sporting activity bookings, which is in line with Regulation Part 3, section 28 within the Distance Selling Regulations issued by the Office of Fair Trading. This means that, once the booking is in place, your right to cancel without penalty ends:
Booking taken:- Loss of deposit
More than 31 days prior to booked date:- Full refund less deposit.
31 days or less prior to booked date:- No refund.
Our accepted date of cancellation is when your written cancellation is acknowledged in writing by us. Email: admin@geronigo.com, or post to address below. If catering or any other supply is included in the package, this may also be subject to cancellation charges. The 31day rule includes weekends and bank holidays. Any reduction in numbers must also in writing and acknowledged in writing by us to be considered valid. Any changes in participant numbers are subject to the same cancellation charges as stated above. Verbal changes and cancellations are not accepted in any circumstances.
SKY DIVING, PLANE FLIGHTS, HELICOPTER, HOT AIR BALLOON FLIGHTS
The activities listed above are heavily dependent on weather conditions and aircrafts. Once booked, they are non refundable and non transferable.
On occasion the activity can be cancelled due to unsafe weather conditions, or mechanical failures, which may be last minute. This is at the instructors discretion. Should this occur, then your experience will be put on hold and can be booked in for a convenient future date. In the event of a flight being cancelled due to adverse weather conditions, or for any other reason, the current range of alternative dates will be available on enquiry to the booking office or on the company website(s). By booking one of these above events you are aware and agree that bookings may get postponed from time to time due to weather conditions and or technical issues.
FLEXI-DATE
Customers can select the Flexi Date option at the time of booking. Flexi Date allows the booker the option to reschedule their current booked event date to a new future date, if they can no longer
attend the original day.
You will have up until 2 weeks prior to the event date to notify us in writing to reschedule, and provide the new date. Rescheduled events will be required to remain at the same location that was originally selected and the future date will be subject to availability for that newly selected date and time. No refund will be provided if your newly requested date and time are not available, new dates will need to be provided.
A booking can only be rescheduled once with a Flexi Date payment. Bookings can not be rescheduled within the 2 weeks (14 day) period prior to the original event date.
If Flexi-Date has not been selected at checkout and you are requesting to reschedule a date: This can only be considered up until 14 days prior to the event date and will need confirming with instructors.
If the reschedule is possible, this will incur a date rescheduling fee of GBP 40.00.
SPECIAL BOOKING CONDITIONS FOR ZORBING, RALLY DRIVING /HIGH PERFORMANCE CARS
In the case of a booking for sphering (zorbing), rally driving or any event that includes driving any type of high performance car, full payment is required on booking and no refunds are given.
BAD WEATHER / OTHER UNAVOIDABLE CIRCUMSTANCES
If an activity is cancelled due to bad weather or any other unavoidable circumstances by the venue, including government restrictions, your booking will be rescheduled to a mutually convenient date for you and the venue. You can choose a date up to three months after the original booked date.
Bookings for a venue where the supplier is still able to and prepared to run the session, will not be eligible for re-scheduling. In these circumstances, a customers decision not to take part it is deemed that the booking has been cancelled and charges as stated will apply. Refunds are not applicable.
ON HOLD BOOKING
In the event that your booking is placed On Hold by the instructors, due to unavoidable circumstances or under special request, these On hold bookings will expire after 6 months. In the event that the On Hold booking is not rescheduled back in within the 6 month time frame the event will be cancelled. Refunds are not applicable Bookings can only be placed on hold with the instructors consent.
GROUP BOOKINGS
Discounted bookings for large groups are priced on the number of participants. Any reduction in group size will result in re-pricing. If the reduction causes your group numbers to fall below the minimum requirement, the price for the minimum number will be charged regardless of attendees. In addition to the re-pricing, cancellation charges apply to each person that is cancelled in a group booking. A group that does not qualify for a discount at the time of booking, cannot acquire a discounted status by the addition of extra participants at a later date. A booked 'team' classified event can add further teams to their booking subject to availability but team sizes cannot be increased at a later date. If a reduction in a group size results in the venue cancelling your event you will still be subject to cancellation charges.
ARRIVAL TIMES
You must be ready to take part in your booked activity, arriving at the 'arrival time' prior to a designated 'start-time' to enable a full safety briefing to take place, unless advised otherwise on your booking confirmation. The *arrival time* will be displayed next to the event *start time* stated on your confirmation. Please check on your confirmation. Participants may take part in any activity without first attending a pre-session safety briefing as designated by the individual activity provider. The booking will normally be treated as a cancellation in the event of late arrivals, as it’s not always possible to accommodate these. And by arriving late you risk your booking being classed a no show.
*Please take arrival times seriously allowing for any possible delays on route to the venue.*
EXCLUSION FROM VENUE
The activity provider has the right, at all times, to refuse participants access to the booked activity at any stage of the booking and remove them from their venue if in their opinion the participants are under the permitted age; are the incorrect height or weight; are unfit to take part in the activity because of physical or mental impairment; be under the influence of alcohol or drugs; have arrived too late to take part in the pre-activity briefing; consider them to be a danger to themselves, other participants or members of staff ; or are displaying aggressive and abusive behaviour (verbal or physical). If any of these occurrences apply, the booking will have been deemed to have been cancelled and cancellation charges will apply. There are no exceptions.
PERSONAL SAFETY / HEALTH REQUIREMENTS
Whilst all our activities are as safe as they can be given their inherent physical dangers, it MUST be understood that all safety instructions, directions, warnings and all other instructions must be followed at all times during your time at the venue. You must listen carefully to all safety instructions and ensure you are wearing any safety equipment or clothing properly. If in any doubt you must seek further guidance and help from the activity provider immediately. You must not attempt to go beyond your capabilities or engage in risky or daring behaviour other than what is involved in the activity itself. It is a given that you undertake the activity with the full understanding of the risks involved and accept responsibility for your own safety together with that of any minors for whom you have responsibility. Booking your event and signing a disclaimer to take part in activities you agree and confirm that you are mentally and medically fit and well. If you are in any doubt about the suitability of the activity for you, you must check with your GP prior to making any booking. If you refuse to sign a disclaimer at the venue you will not be able to take part and such an action will be treated as a cancellation.
ACTIVITY DESCRIPTIONS / RESTRICTIONS
1. All the activities are described in as much detail as possible and are correct at the time each booking is made. All timings for activities are the total time for the sessions and not an indication of a per person allocation. From time to time activities do change both in price, type and duration. Our Booking Advisors will make every effort to provide additional information and clarification about any of our featured activities, however customers are deemed to have thoroughly familiarised themselves with the activity description, all restrictions, including height, weight and age restriction as detailed on our websites before booking the activity. No responsibility can be accepted by us for an inappropriate booking if you do not familiarise yourself with all aspects of the activity in question at the venue chosen either on our website or through your own enquiries before placing a booking.
2. All equipment and any inclusions provided as part of the booked package are exclusively available for the participants attending the event. Non-attending participants will forfeit their package and any associated inclusions without refund or reallocation. All attendees must be present to receive the full benefits of the package.
3. In the event that an activity does not show a weight or a height restriction, this is due to the experience not generally having one in place. However, if your individual circumstances regarding weight or height have historically prohibited you or a member of your party from participating in an experience or could bring in to question the suitability of the experience, please bring this to our attention prior to making your booking.
DRIVING LICENCE
For gokarting and quad biking no driving licence is required, however, when taking parting in off-roading or a car driving experience, you must have held a full UK licence for at least one year (F1 driving experience 3 years). You must also take your licence for inspection on the day. Failure to produce a licence for this type of activity will result in you not taking part in the activity and this will be deemed as a cancellation.
COMPLAINTS
If you are dissatisfied with your activity in any respect, or you have any other complaint about the activity provider or any other matter in relation to the venue or its performance, then you must speak to the activity provider on the day and come to an agreement about how you can resolve the situation. It will not be considered reasonable if you have not brought your dissatisfaction to the attention of the activity provider at the time and then complain later. If you take part in an activity, either the booked activity or a replacement offered by the activity provider on the day, it is deemed that you consider that the activity of which you took part is entirely acceptable to you and that a complaint at a later date is unlikely to be considered. Should you have a complaint about the actual booking process, please email: customer.services@activityhq.com. All communications with Customer Services must be in writing, as this ensures that all aspects of the communication between us are clear and unambiguous. Once received we will investigate and discuss the matter with the relevant parties. When we have gathered all the necessary information, we will get back to you.
REFUNDS
Should you be deemed eligible for a refund the absolute maximum amount this will be is the monies you have paid to us and will not extend to consequential loss or claimed inconvenience or stress howsoever caused. No exceptions are made in this regard. If you have taken part in any activity during the booked event in question, regardless of the circumstances or conditions under which you took part, then this will negate any refund claim.
